Needs baseline is the one worth knowing. Outcomes and grant reports measure progress as the change from someone’s baseline, so a person without one has nothing to measure. This usually happens after a data import, and this filter is how you find exactly who to backfill.
Can I get my data out?
Yes, any time. Export gives you a CSV of whatever is currently on screen, including your filters, with fifteen columns covering contact, demographics, phase, caseworker and intake date. Bulk Import goes the other way.
What does archiving do?
It removes someone from every working surface: the directory, the grant report cohort, the referral feed, dashboard queues and org counts. Nothing is deleted.
Because an archived person leaves the reporting cohort, grant reports say so explicitly, with a line like “2 archived participants excluded”. A figure that changes quietly after a period closes is the kind of thing a funder monitor asks about.
