What is the Pathway in Lift Right?

Pathway is where the work happens. One screen per participant holding service lines with stages and tasks, the service log, case notes, documents, consent records, readings, and direct messages. Everything logged here is what the funder report later counts.

Pathway is where every verb lives. The client record at /participants/[id] is a read-only ledger; if you need to do something, it happens here.

Client picker: filter pills (All, Mine, Unassigned, Launch Pad, Pathway, Continued Growth, Completed, Bilingual) plus search. Deep links from anywhere land on the right client.

Client Communication

A message thread with the client. Anything you send is visible to the client in their Launch Pad; their replies appear here. Client messages are marked read as you view them, and unread client messages go to the top of your work queue, just below any approval items if you are an administrator.

Readings

Baseline and progress capture, recommended services with apply (lines a caseworker applies go to the org admin for activation), reading history, and methodology notes (see The baseline reading).

Intake answers

One click opens the client’s full intake transcript.

Documents

Attach files to a person: identification, leases, paystubs, signed forms, anything that backs up what is in the record.

Every upload asks what does this document prove? That field is the point of the panel. A paystub is not just a file, it is evidence of a wage that will appear in a funder report, and recording the link at upload is what lets you produce the document behind a reported number when a monitor asks. Answering it later, from memory, months after the fact, is how audit trails go cold.

Documents live in private storage. They are only reachable through links that expire after five minutes, so a copied URL is not a lasting leak.

Documents are archived, never deleted. Anything with an expiry date shows a warning as that date approaches.

Consent and information sharing

Three connected things, all on the Pathway workbench.

Consent is the permission the person gave. Each record names who it covers, what it is for, when it expires, whether the recipient may pass the information onward, and whether it has been revoked.

The disclosure log is what actually left your organization: what was shared, with whom, and under which consent. This is the record a funder asks for, and the record the person themselves is entitled to ask for.

The cover sheet is a printable page that travels with information you send. It states the authority for the disclosure, the purpose, the expiry, and whether the recipient may share it further.

The database itself refuses to record a disclosure under a consent that has been revoked or has expired. That refusal lives in the database rather than the screen, so it holds regardless of how the disclosure was attempted.

Lift Right does not send anything. It produces the paperwork; you send it the way you already send things.

Referring without a consent on file

If you make a referral and the person has no active release of information on file, a warning says so before the referral is created. The check looks at the person’s record as a whole. It does not compare the recipient named on a release with the provider you are referring to, so confirm that yourself. You can still proceed, because emergency referrals without paperwork are both legal and sometimes necessary. Proceeding is recorded on the referral as a decision you made, with your name and the time.

Removing someone from your list

Archive first. Deletion is not something staff do.

An administrator selects the people on All Participants and uses Archive (caseworkers do not have the button, so ask your administrator). They come off every working list, caseload count, dashboard tile, and grant report cohort, and their history stays intact underneath. This is the right action for someone who has moved away, stopped engaging, or was entered twice.

Archiving is reversible and nothing is lost. That is the point: a person who reappears eighteen months later still has their record, and a funder monitor asking about a past period still gets an accurate answer.

Actual deletion is reserved for a real legal or regulatory demand, such as a records request or a court order. It is not available in the interface and is handled case by case with Lift Right, because deleting a person removes evidence behind numbers that have already been reported.

Case setup & funding

Veteran service information (branch, era, discharge, and whether the DD-214 discharge form has been sighted) and program/funder-grant enrollment: enroll, mark exited, remove. Each grant enrollment carries an eligibility-verification level (self-attested, docs reviewed, or verified) that an administrator sets; services are never delayed for paperwork. Enrollment changes are admin-gated.

Service Log

The workbench home of “an action worth documenting”. You pick the service from your organization’s own service catalog, grouped by this line, all service lines, and services approved for this client. A service from outside the line is sent as a request with a reason, and an administrator decides. Hourly services need the minutes, and services counted in passes, trips, nights or payments take a quantity. These entries feed grant report counts.

Internal Notes

Notes written by staff, for staff. They are not shown in Launch Pad.

Referrals & Milestones

Referrals to partner organizations with delivery states, check-ins, and the shareable provider response link (see Referrals and provider directories).

Parked lines and activation requests (governance)

Parked lines appear as inert dashed cards. When the baseline reading validates the need, click Request activation, write the rationale, and submit. The request goes to the org admin’s Dashboard queue (Line activation requests): approve turns the line active; reject requires a reason the caseworker sees, and the line stays parked.

Case-level actions (header)

  • Stage override: move the case between Intake, In Progress, and Completed, including backward (reopen a case or send it back a stage). Confirmed before applying.

  • Complete case: guarded on this screen; a referral still marked Referred or Connected must be closed first (resolve them on the line cards’ Referrals tab). On completion, the close-out modal captures employment outcomes (employed at exit, wage, hours, benefits) and a closing note. These feed outcome and funder reports and are editable any time from the Close-out button while the case is Completed.

The work dock (“Needs you today”)

A floating dock in the bottom-right corner on every page except the Dashboard (which shows the same queue in its aside). It ranks what needs action, highest urgency first: new client messages, overdue tasks, stale referrals needing follow-up, lines sitting in Qualifying 3+ weeks, check-ins overdue, tasks due soon. Click an item, land in Pathway on that client, act, click the next. Approval items, which only administrators see, open the Approvals tab of Grants instead. It refreshes as you navigate so finished items fall off. A full administrator can tune the check-in gap and the referral follow-up timing with the Thresholds button on the Dashboard; the three-week Qualifying flag and the three-day due-soon window are fixed.

Questions people ask

Where does the day-to-day work happen?
In Pathway. The participant record is a read-only ledger; everything you do, from readings and service logs to notes, documents, referrals, and messages, happens on the Pathway screen.
Are messages visible to the participant?
