How is a case structured in Lift Right?

An organization holds programs, and each program can be linked to the grant that funds it. People enter through intake, get a baseline reading across twelve life domains, then work through service lines on their pathway. Everything recorded along the way feeds the funder report at the end of the period.
Roles
Role | What they do |

Caseworker | Works assigned clients in the Pathway workbench: readings, tasks, notes, referrals, messages, service logging. |
Org Admin | Everything a caseworker does, plus: team management, programs, grants, categories, grant reports, Data & Insights, routing (Review & assign), and governance decisions. Team management, grants, and creating or archiving programs belong to the full tier. |
System Admin | Lift Right platform staff. Onboards organizations and manages the platform. Can reach an org’s client records directly for support, with no approval step. |
Org context vs program context
Staff can work at the org level (everything across programs) or step into a single program from the Programs page. Click a program’s tile to select it, or Open dashboard on the tile to go straight to that program’s dashboard. The sidebar stays the same, and the dashboard and lists scope to that program’s enrolled members. Opening the Programs page again returns you to the org level.
One deliberate rule: clients still in the Intake phase belong to no program yet. They appear as org-wide inbound in every program until routed.
The two ladders
Case phases (the whole client journey): Intake, In Progress, Completed.
Service line stages (each individual need): Qualifying, Active, Continued Growth, Completed.
Stage | Meaning |

Qualifying | The line is open but services have not started: establishing eligibility, gathering documents, applications, waitlists. |
Active | The client is receiving services in this line. |
Continued Growth | Goals met; gains are holding. Periodic check-ins confirm stability. |
Completed | Successful close. This is what counts toward completion rates. |
Paused | Temporarily on hold; expected to resume. |
Exited | The client left this line before completion. |
Requested | Requested by the client from Launch Pad; awaiting caseworker confirmation. |
A case is the container; service lines are the work inside it. A client with Housing, Employment, and Mental Health needs has one case and three service lines, each at its own stage.
The intake-to-report arc
Intake runs in four steps, tracked on the Dashboard’s Participant pipeline: (1) Intakes in progress, (2) Review & assign, (3) Baseline assessment, (4) Ready to enroll. Someone enrolled at Review & assign moves straight to In Progress. Steps 3 and 4 hold people who were assigned to a caseworker before a program was chosen. From there the work happens in Pathway, and everything logged feeds grant reports at the end.

- Which program does a person belong to during intake?
- None yet. People still in the Intake phase belong to no program and appear as org-wide inbound in every program until an administrator routes them in Review and assign.
